A new scope, built around the tours.

Ticket sales moved in-house, which frees up real capacity. This is where we think those hours should go, plus what we finished this past week.

01PROPOSED SOW

What the retainer covers now.

Same team, same weekly hours. The list below is what those hours buy, and what each lane actually involves.

One change to note

Ticket sales are handled on your side now, so they come off our scope. Those hours get redirected into content, tour outreach, and systems work instead.

15 hrs / week
What it involves
Your team is on call for the week. Priorities get set together so the hours land where they matter most.
Workstream
Social content
Where most of the weekly hours go
3 posts / week
What it involves
Mostly video now, which means full production on every post. AI-generated scenes kept to an absolute minimum since audiences have turned on them. We have hours of scrubbed live footage and the entire Metropolis film to pull from, so the source material is deep.

File & media management
A pipeline built for multi-gig footage
Ongoing
What it involves
Raw performance footage is heavy, and standard transfer methods aren't built for files that size. Several handoffs didn't complete, which quietly cost the content calendar about two weeks. We'd put a real pipeline in place: one shared home for raw and finished media, a transfer path that holds up at multi-gigabyte sizes, and consistent naming and folder structure. Send once, it arrives intact, and we can find it a year from now.

Tour outreach
Apollo sequences to venue booking agents
1 city at a time
What it involves
City priority order set with you, then:
  • Write the outreach emails, with translations where the market needs them
  • Source venue contacts where we don't already have them
  • Run the sequences through Apollo, same process we've been using

SMS, WhatsApp, or email
Channel TBD
What it involves
Either we manage SMS or WhatsApp marketing, or we run one email blast per month. We're researching which channel earns its keep before committing.

Tech & systems
Giving Kevin his week back
Proposed add Identified pain point
What it involves
Too much of Kevin's week disappears into managing the tech and the day-to-day IT and online upkeep instead of the brand. We'd take that over: audit the GHL email setup, refresh the merch store design by design, and rebuild the workflows underneath so they can scale with the tours. Think of us as the tech and IT bench, not only the marketing one.
02NEXT UP

What swaps in as lanes close out.

There is more work than there are hours. As anything above wraps or goes quiet, we pull the next item off this list rather than letting the capacity sit idle.

01

Scrub the UK tour footage

Every video coming out of the upcoming UK run gets scrubbed and banked for future tour content, translations included where the next market needs them.

02

Start PR earlier

Press needs long lead times and we've been starting late. For future tours:

  • Pull publication contacts through Apollo
  • Write the pitches
  • Launch the sequences well ahead of announce
03

Repoint the sponsorship deck

Rebuild it around future tours, then work the existing list:

  • Import every sponsor email into a Meta campaign
  • Retarget them with a "more tours are coming, sponsor now" ad
  • Keep the ad spend nominal and say so, so nobody balks at the budget
04

Lead gen the moment tours book

As soon as dates are confirmed, Meta lead gen campaigns go live to start collecting future ticket buyers, translated per market.

05

Copywriting support

Wherever the brand needs words: site, email, decks, campaign copy.

06

Wix site build & upkeep

Build out and take over ongoing management of the website, pending your call on scope.

07

Additional graphic design

Design capacity beyond what the weekly posts absorb: campaign assets, one-offs, and print pieces for venues and partners.

08

Other video formats

If the platforms or the audience shift, we cut for whatever is working: long form, vertical, trailers, venue-facing edits.

09

Updated PR toolkits

Keep the press kit current for every leg of the tour: fresh assets, images, bios, and boilerplate ready to send the moment press asks.

10

Updated email drip campaigns

Rebuild the drips for every audience and segment: past ticket buyers, new leads, venues, and sponsors each get their own track.

11

More as we go

We meet weekly. The list stays open and priorities move with whatever the tours need.

Assumptions & notes.

Nothing here is meant to be restrictive. It's here so we're working from the same picture of what the weekly hours cover and what sits outside them.

  1. This page is a working document, not an agreement. A formal scope of work and contract with complete terms will follow for review and signature before anything begins.
  2. Fifteen hours a week is the capacity, not a floor or a ceiling on ambition. The scope list is a menu we work through by priority, not a set of lanes all running at full volume at once. Unused hours don't roll forward.
  3. Priorities are set together, weekly. When something new is added mid-week, it displaces something already scheduled rather than stacking on top of it.
  4. The Next Up list is sequential. Items move into active work as capacity frees up, one at a time, not in addition to everything already running.
  5. Video is social-grade editing from existing footage. Cutting, assembly, captions, light color and audio cleanup, graphics from the established template set. Studio-grade post, heavy VFX or compositing, original score or sound design, and any on-site shooting, crew, or equipment are separate projects with their own estimates.
  6. Graphics work stays within the established brand system. Custom illustration, 3D, character work, and complex motion graphics or animation are quoted separately before any work starts.
  7. Website work in the retainer means upkeep. Content updates, small page additions, and routine maintenance. New builds, redesigns, migrations, and ecommerce or ticketing integrations are standalone projects with their own scope, estimate, and timeline.
  8. Ad spend is separate from fees. Budgets are billed to Vox Lumiere directly and agreed in writing before any campaign launches.
  9. Third-party costs are passed through. Software and subscriptions (Apollo, email and SMS platforms, storage, AI tools), stock media, fonts, and licensing are billed at cost or paid directly, and are not covered by the retainer.
  10. Translations are AI-assisted with human review for outreach and campaign copy. Certified, legal, or professional literary translation is sourced separately.
  11. Rush and after-hours requests are accommodated where we can, but they either displace scheduled work or carry an additional fee. We'll always flag which before proceeding.
  12. Timelines assume timely input. Footage, approvals, platform access, and answers coming back within a few business days keeps everything on schedule; delays shift delivery accordingly.
  13. Ticket sales, ticketing platform operations, and on-site production are out of scope and remain with the Vox Lumiere team.
  14. Outcomes aren't guaranteed. Bookings, ticket sales, press placements, and sponsorship results depend on the offering, the market, timing, and other factors outside our control. We commit to the work and the process, not to a specific result.
